Terms and Conditions
Service Costs
Private clients or those using Medicare: The full fee is $220 per session. With a valid Mental Health Treatment Plan (MHTP), the Medicare rebate is $98.95, making your out-of-pocket cost approximately $121.05. NDIS self-managed and plan-managed clients: The session fee is $232.99, in line with NDIS requirements. You will receive an invoice for your session, which must be paid directly via Halaxy or direct deposit before your next appointment.
Please note that the Australian Psychological Society (APS) recommended fee for seeing a psychologist in 2025 is $318 per hour. However, we have kept our fees at $220 per hour to make our services as accessible as possible.
Session Length and Frequency
Sessions are typically 50 minutes in length. The frequency and duration of sessions will be discussed and agreed upon based on your individual needs and goals. Longer or more frequent sessions can be arranged if necessary. Please ensure to arrive on time for your appointments, as sessions must finish on time to avoid disruptions to other clients.
Making an Appointment
To make an appointment, please submit an enquiry through the Contact Us form on our website or email info@wholesomeminds.com.au. You will receive a response to confirm your booking.
Cancellation Policy
If you need to cancel or reschedule your appointment, please provide at least 48 hours' notice. If you cancel within 48 hours of your appointment or fail to attend, you will be charged the full session fee. If you arrive late to your appointment, your session time will be shortened accordingly, and the full session fee still applies. Invoices for sessions must be paid in full before your next scheduled appointment. We appreciate your understanding and cooperation.
Payment Method
Payments are processed online through Halaxy, a secure platform for managing appointments and payments. You will receive an invoice for your session, which must be paid directly via Halaxy at the end of the session.
Medicare Rebates
Medicare rebates are available for eligible individuals with a GP Mental Health Care Plan. Both adults and children can access up to ten sessions per calendar year under this plan.
The current rebate for a session with a generally registered psychologist is $96.65. Once assessed as eligible by your GP, you can claim the rebate through the Medicare online claim system. Please note that fees for cancelled appointments are not eligible for Medicare rebates.
While Medicare rebates are available for eligible clients with a GP Mental Health Care Plan, please note that at this stage Wholesome Minds Psychology is unable to process Medicare claims directly. After your session, you will receive a full invoice, which must be paid in full before your next appointment. Once the invoice is settled, you can then submit the claim directly to Medicare via the online claiming system to receive your rebate.
NDIS Services
Wholesome Minds Psychology provides services to clients with plan-managed or self-managed NDIS plans. These clients may be eligible for psychology services to help achieve their NDIS plan goals.
Please note, Wholesome Minds Psychology is not a registered NDIS/NDIA provider, meaning that NDIA-funded clients cannot use their NDIS funds to access our services.
Third party
If you authorise a third party, such as Medicare, NDIS, DHHS, etc, to cover the costs of services on your behalf, you acknowledge that you remain fully responsible for any outstanding amounts if the third party fails to make payment for any reason. Wholesome Minds Psychology is not responsible for managing your funding or rebates and is not liable for any rejected claims or delays in payment.
You acknowledge that it is your responsibility to ensure third-party payments are processed, and any outstanding balances will remain your responsibility if the third party does not fulfill their payment obligations.
Confidentiality and Privacy
Your privacy is important to us. All personal information provided during your sessions will be kept confidential, in accordance with the Privacy Act 1988. However, there are some exceptions to confidentiality, such as when you provide written consent to share information with other professionals, during supervision or consultation, when required by law (e.g., court order or mandatory reporting obligations), or if you or someone else is at risk of harm. Please refer to our Privacy Policy for further information.
Limitations of Service
Wholesome Minds Psychology does not provide emergency psychological services. If you are experiencing a crisis or need immediate assistance, please contact your nearest hospital emergency department or dial 000 for urgent support.
While we aim to provide the best care and support, therapy may not always provide expected outcomes. Progress in therapy can vary depending on individual circumstances and commitment to the process. We encourage you to provide feedback throughout the therapeutic process so that we can best support your needs.
Mandatory Reporting
Psychologists are mandatory reporters and are legally required to report any reasonable belief or suspicion of child abuse or neglect. In such cases, psychologists are obligated to disclose personal information without needing to obtain consent.
Court Orders
It is essential that Wholesome Minds Psychology is made aware of any court orders or custody arrangements involving you or your child before services commence. This ensures that we can appropriately manage communications and ensure the safety of all parties involved.
Wholesome Minds Psychology does not get involved in custody disputes or legal matters, and we do not provide letters, reports, or testimony for court proceedings. If a subpoena requires the disclosure of information, we are legally obligated to comply with such requests.
Liability
Wholesome Minds Psychology is not liable for any injuries or accidents that may occur while on our premises, and by using our services, you acknowledge and accept this responsibility.
Client Responsibility
You are responsible for providing accurate and complete information about your health and personal circumstances. This will help us provide the most effective care and ensure your treatment plan is tailored to your needs.
Complaints and Feedback
We value your feedback. If you have concerns or complaints about your experience or the services provided, please contact us directly at admin@wholesomeminds.com.au so we can address the matter in a timely and professional manner.
If you are not satisfied with our response, you may contact the Psychology Board of Australia (PsyBA) or the Australian Health Practitioner Regulation Agency (AHPRA) for further assistance.
Changes to Terms and Conditions
Wholesome Minds Psychology reserves the right to update or modify these Terms and Conditions at any time. The most current version of the Terms and Conditions will be available on our website. We will notify you via email if there are any updates to the Terms and Conditions. Continued use of services indicates acceptance of the Terms and Conditions Policy.
Social Media Policy
Wholesome Minds Psychology has various social media accounts, which allows Wholesome Minds Psychology to share practice information, general psychoeducation, news and updates.
Social Media Activity
If you choose to engage with any of Wholesome Minds Psychology’s public social media posts, such as commenting about your own therapeutic experience with Wholesome Minds Psychology, feedback of your clinician or any general reference to being a former or current client with Wholesome Minds Psychology, or liking or commenting on any post, please know your confidentiality as a client of Wholesome Minds Psychology may be compromised.
Friend requests on Social Media
To protect your privacy and maintain appropriate therapeutic boundaries, Wholesome Minds Psychology do not accept friend or follow requests from current or former clients on personal social media accounts. These requests will not be accepted or responded to. You are welcome to follow Wholesome Minds Psychology’s public accounts; however, we will not follow you back, as doing so may compromise your privacy and the therapeutic relationship.
Email and communication
Where possible, Wholesome Minds Psychology only uses email to discuss administrative matters like booking appointments or sending links to online resources. Please be aware that any clinical correspondence via email, may be retained in the logs of your and Wholesome Minds Psychology Internet service providers. Please note that emails may be stored in the logs of your and our internet service providers, and while access is unlikely, these records could technically be searchable by system administrators. Emails exchanged with clients may be retained as part of your clinical record, in accordance with professional guidelines.
Business Review Sites
Wholesome Minds Psychology may appear on business review platforms that automatically generate listings. These listings are not managed or endorsed by the practice, and we do not request or encourage client reviews or testimonials. If you choose to leave a review, please be aware that it may compromise your confidentiality.
